A provider worth trusting will give you a clear, written Service Level Agreement (SLA) with defined escalation paths — not a vague promise of “fast response.”

2. How Do You Handle Cybersecurity — Not Just Antivirus?
Antivirus software alone is not a cybersecurity strategy. Ask your prospective provider how they approach layered security: endpoint detection and response (EDR), email filtering, multi-factor authentication (MFA), dark web monitoring, and security awareness training for your staff. If their answer starts and ends with “we install antivirus,” keep looking. 3. Can You Explain What You’re Actually Monitoring?
Managed IT should mean proactive, not just reactive. Ask for a specific breakdown of what’s being monitored on your network, endpoints, and servers — and how often. Are they receiving real-time alerts? Are patches applied automatically, or do they queue up for weeks? A trustworthy provider should be able to walk you through their monitoring tools and show you sample reports without hesitation.
4. What Happens If Something Goes Wrong?
This is where providers separate themselves quickly. Ask about their incident response process, their backup and disaster recovery strategy, and how fast they can get you operational after a failure or breach. Key questions to dig into:
- Where are backups stored, and are they tested regularly?
- What is your recovery time objective (RTO) for a full system failure?
- Do you have documented runbooks for common disaster scenarios?
A provider who stumbles on these questions likely doesn’t have a real plan in place.
5. Who Actually Works On My Account?
Some IT companies sell you a premium service and deliver entry-level support. Ask whether you’ll have a dedicated account manager or technical contact, what certifications their engineers hold, and whether they use offshore or subcontracted support. You deserve to know exactly who has access to your systems and data — and what their qualifications are.
6. Do You Have Experience in My Industry?
Healthcare, legal, financial, and manufacturing businesses all have specific compliance requirements — HIPAA, CMMC, PCI-DSS, and others. Ask whether the provider has experience navigating those regulations and whether they can help you maintain compliance, not just connectivity. Industry experience isn’t just a nice-to-have; in some cases, it’s a legal necessity.
